When to Add Items Manually vs Using a Bulk File
Manual entry makes sense when you are adding a small number of new SKUs, testing a new product before committing to a full catalog upload, or making a one-off correction. If you are adding dozens or hundreds of products at once, a bulk import file is faster and reduces the chance of inconsistent data entry across products. Both methods create the same underlying inventory record, so neither is more correct than the other, it is purely a question of volume.
Step 1: Open My Inventory
Log in to Linnworks and go to the Inventory section in the left-hand navigation, then select My Inventory. This is the central catalog view where every product you have ever added or imported is listed.

Step 2: Start a New Item
From the My Inventory screen, click + Add New. This opens the new item creation form.
You will be asked to enter three fields before you can proceed to the full item details:
- Item Number: This is your SKU. Choose this carefully, since the SKU cannot be changed once the item is saved.
- Item Title: The product name as you want it to appear internally and, depending on your channel settings, on your listings.
- Barcode: Your UPC, EAN, or other product identifier, if you have one. This can usually be added or corrected later if you do not have it on hand yet.
Click Add to move to the full item details page.

Once you reach the main item page, confirm and review the core identifying details first:
- SKU (Item Number): Already set from the previous step, this cannot be edited going forward.
- Title: Review and adjust if needed.
- Barcode: Add if you skipped it earlier.
- Category: Assign the product to a category within your Linnworks catalog structure if you use categories to organize your inventory.
Step 4: Fill In Product Details

- Stock levels: Enter the current quantity on hand for the relevant warehouse location.
- Pricing: Set your cost price and retail price. Cost price matters for profit reporting later, so do not skip it even if it feels optional at this stage.

Step 6: Confirm the Item Was Added
Go back to My Inventory and use the search bar to look up the item by its SKU or title. If it appears in the results with the details you just entered, the item was added correctly.

This quick check matters more than it might seem. Confirming the item exists and is searchable now, rather than assuming it saved correctly, avoids a confusing troubleshooting session later if you try to link this SKU to a channel listing and cannot find it.
How to Edit an Existing Item
If you need to correct or update a product you already added, go to My Inventory, find the item, and click on its SKU. This opens the edit page with all the same fields available from the original creation process.
Make your changes and click Save again to update the record.
